TERMS AND CONDITIONS FOR VENUE HIRE AND SERVICES

1. A bond /booking fee of $150 is required at the time of booking the hall and the balance to be paid as specified on the invoice. If charges are not paid by the due date, NZAT reserves the right to cancel future bookings. Restrictions

2. The Hall is not available for hire to celebrate a function/occasion that has been or will be celebrated by NZ Athia Trust Society (NZAT).

3. All food on the premises must not contain any onion, garlic, or asafoetida (hing) and must be strictly vegetarian (including no egg).

4. No smoking or alcohol permitted on the premises, including the carpark. It is the hirer’s responsibility to ensure their guests are aware of this term.

5. If you are planning to cook or heat food at the hall you may not take in any cooking appliances. You must hire the cooking appliances available in the Kitchen.

6. No fire is allowed to be lit except for a symbolic one at the wedding ceremony or havan for prayers. Agni Kund for the fire at wedding or prayer to be such that it does not damage any part of the property.

7. In case of a call out by Fire Brigade, call out charges/fees will be charged on to the hirer.

8. Use of nails, tacks, screws, pins, Sellotape (sticky tape) for fixing decorations is strictly prohibited. Masking tape can be used for this purpose.

9. Ballroom powder, confetti or glitter and smoke machines are not permitted in the Hall. Your Responsibilities

10. The Hirer must ensure that access and egress for residents, businesses or emergency vehicles are available at all times and that the public is not duly inconvenienced by the Event. This includes public and private access ways that must always be kept clear.

11. Noise: The hall is in close proximity to houses in the area. Noise from amplifiers and loudspeakers must always be kept to a moderate level. Failure to comply with this condition may result in the early closure of your function and/or fines if noise control have to attend. No noise/music after 11.30pm.

12. The hirer is to include in their booking time, any set up & pack up time that may be required. Should the event continue after finish time, additional charges may apply.

13. It is the responsibility of the hirer to make sure all interested parties (decorations, caterers etc) are made of the terms and conditions.

14. The hirer must be only on the premises at times which are stipulated on the booking form.

15. The Hall can accommodate 400 people in total. This means hiring the Main Hall and Dining Hall. (300 seated in Main Hall and maximum 400 in whole complex.) It is the Hirer’s responsibility to ensure it is not exceeded.

16. Rubbish/Garbage removal will be the responsibility of hirer. For this we suggest a suitable bin be hired and placed in advance or NZ Athia Trust can arrange a rubbish bin at a cost. Hirers are required to bring their own cleaning equipment and garbage bags for rubbish.

17. NZAT reserves the right to invoice the Hirer for any additional charges resulting from Hirers use if: I. Any damage to the Hall caused during the Hire Period or through any breach of the Terms and Conditions in this Agreement. ii. Any theft of the NZAT property from the Hall during the Hire Period. iii. Any extra cleaning, rubbish removal, repair or reinstatement in the Hall which NZAT considers is required after the Event. iv. You enter or remain within the venue outside the booked period. v. Any costs, losses, or expenses that NZAT incurs due to any breach of the terms and conditions outlined in this Agreement.

18. In the event of cancellation of booking, the hirer must advise NZAT with a notice period of 7 days. If notice is not provided 7 days in advance, $50 will be deducted from the bond/booking fee.

19. The hirer shall at the termination of the use of the Hall each day, ensure that electric and gas appliances are turned oa and the premises is securely locked. The checklist provided with the key must be completed and returned with the key within 24 hours of the last day of hireage.

20. It is the responsibility of the Hirer to make their guests familiar with the emergency evacuation procedures and to ensure that all emergency exits are clear and free from any obstacles.

21. NZAT does not undertake to arrange for or maintain any insurance cover, property, contents or otherwise, for the Hall or the Event for the benefit of the Hirer.

22. The Hirer will indemnify NZAT, its Committee or members against all claims, demands, losses, damages, costs and expenses arising from the Hirer’s use of Hall or any breach of this agreement.

23. Other than guide dogs for the visually impaired, registered companion animals or oaicial animals of the NZ Police, no animals are permitted in the Hall.

24. Nothing in this Agreement creates a landlord – tenant relationship between parties.

25. Commercial use: No commercial activity should be undertaken by the Hirer which could result in direct competition to NZAT Activities.

If you are intending to hire the venue where there will be any commercial or other gain, then explicit permission needs to be obtained at the application part of the venue hire.

Your booking is not confirmed until you have accepted the Terms and Condition of hire.
